A workplace from consulting firms, without people

Consulting firms

The invoice cannot go out until you know which copy went to the client.

Every report version stays in its history, every opening of a share link is logged, and a signed copy returned by email is filed by a rule in the project folder.

Problems you know.

The invoice waits, and nobody knows which copy went to the client.

Payment for the delivery is late, and the client disputes what they never signed.

handover_2.pdf signed
  • Version sent v3, 14 Jul
  • Link opened 15 Jul, 09:12
  • Folder Atlas project
Partner notified: the invoice can go out.
Arhivix today
Every version of the report stays in its history, and every share and link opening is logged, so you know what the client received. The signed record that comes back by email is filed by a rule in the project folder, and an automation notifies the partner.

The client asks for every report and contract from last year, and they are on three drives and in two inboxes.

Someone on the team spends a day collecting, and whatever they cannot find looks as if it was never done.

Atlas/2025 in one folder
  • Contains reports, contracts, records
  • Shared with Atlas
  • Role Viewer
Anything you add to the folder later is shared too.
Arhivix today
Every client has its own folder or workspace. If the client also uses Arhivix, you share the folder with their company and it arrives in their Shared with me section; if not, you send a link with an expiry date and a password.

A new project stands still while the NDA is printed, signed, scanned and sent back.

The first week of the project goes on paperwork while the team waits.

NDA_Atlas.pdf sent to the client
  • Signature qualified electronic
  • Certificate on this computer
The link is valid for 7 days, with a password.
Arhivix today
You sign the NDA with a qualified electronic signature in the desktop app, using the certificate installed on your computer, and send it to the client by link. The copy the client signs comes back by email into the project folder.

You have three versions of the proposal, and the client replied to a fourth.

You negotiate a price you never sent, or accept terms nobody approved.

proposal_Atlas.pdf 4 versions
  • Current v4, 12 Jun
  • Client's reply to v4, 13 Jun
The earlier v1, v2 and v3 stay in the history.
Arhivix today
The proposal is one document with a version history, and the client's replies arrive by email in that client's folder. A search by client and document type returns every proposal, and the history lists every change with its date.

The framework agreement with the client has expired, and you find out when they send your invoice back.

You work without a contract or on old terms, and payment stalls until a new one is signed.

contract_Atlas.pdf 2 deadlines
  • Contract expiry 31 Dec 2026
  • Renewal 1 Dec 2026
A notice period of 30 days, read from the contract.
Arhivix today
When the contract arrives, Arhivix reads the end date and the notice period and sets two deadlines by itself: the expiry and the last day to give notice. You can edit or dismiss both, and you add the reminder yourself.

The documents and rules of your trade.

Documents that arrive

  • Proposal proposal_Atlas_v3.pdf
  • Contract client_agreement_2026_07.pdf
  • Plan project_plan_Atlas_v2.pdf
  • Report report_Q2_Atlas.pdf
  • Invoice invoice_2026_044.pdf

Rules that run by themselves

  • When email from the client Then attachment to the client's folder
  • When new report in the project folder Then share with the client's contacts
  • When record in the project folder Then notify the partner

Rules notify, share and remind; every read field is a proposal a person confirms.

True for every document

  • Every change is a new version, and an earlier one comes back with one click.
  • A share link has an expiry and a password, and the log shows who opened it.
  • You grant access per folder and document; every open, download and share is logged.

It starts without a project.

  1. Connect the company inbox or upload your existing folders, and Arhivix reads everything in the background.

  2. Paper from the field is photographed with the phone or scanned; Arhivix proposes the type and the details, and you confirm.

  3. Confirm an inbox rule once: next time such an attachment files itself, and uncertain ones wait for your approval.

No. The qualified electronic signature works in the desktop app for Windows and macOS, with the certificate installed on that computer. The signed NDA stays in the project folder, and you send it to the client by link or by email from Arhivix.

You upload your existing folders or connect your email inbox, and Arhivix indexes everything in the background. Standard plans need no migration project and no consultants. With an Enterprise contract, your existing archive is moved in with its folder logic, metadata and retention dates preserved.
