How a company organizes its documents: from email to action | Arhivix

A document comes in through one door and reaches the right people on its own.

Email, phone, the tools you already use or a dragged file: the system recognizes what arrived, pulls out the data and the deadline, routes it to the person who handles it and files it where you decided. A process scattered across five tools becomes one flow.

What that flow looks like

Five steps that happen without anyone steering them. Today each one is done by a person, in a different tool, from memory.

Today

Documents come in from the business inbox, from a phone through scanning, from the tools you already use or by dragging them into the window. You never enter the same data twice and no attachment stays forgotten in somebody's inbox.

The system reads what arrived: document type, partner, amount, number and date. On a receipt with a damaged QR code the data is reconstructed from the text.

The document gets a name, a category and a place in the company structure. One case keeps the contract, its annexes, invoices and correspondence together, so search goes by content, not by whatever someone named the file.

A rule you set once sends the document to the person who handles it and reminds them of the deadline. The invoice goes to the accountant, the contract goes for signature, the expiry notice goes to the owner.

Every access and change stays in the audit trail, the retention period is tracked per document category, and the files live in the Arhivix cloud or in your own S3 storage.

The point is not a tidy document but a system that runs without you.

You set the flow once and it keeps going on its own. The dashboard shows what came in, where it stands and who is waiting, so you always know how the company actually runs.

Arhivix does not replace the tools you already use. It works alongside them.

Same flow, different paperwork

Every company that works with documents has the same problem: paper arrives, someone logs it from memory and everything depends on that person. Here is what the flow means in practice.

If your industry is not on the list, the flow is the same: intake, recognition, sorting, people and deadlines, trail.
