Why "the best document AI tool" is the wrong question

"Best document AI tool" is the wrong question, because the products competing for that phrase solve four different problems, and category fit is the right question. What follows is a category map, not a ranking. There is no number one.

Four criteria that separate the categories

Answer these before you open a pricing page.

  • Store or parse. Does the tool store the document, or only parse it and hand the data back, leaving the original file where it already was?
  • Where the data rests. In which region does the file physically sit, and under whose jurisdiction is the contracting entity and its subprocessors?
  • Retention and audit trail. Are retention periods and an audit trail enforced by the tool, or left for you to build?
  • Behind your app or in front of it. Does it run behind your own application as an API, or is it a separate product your users log into?

Extraction APIs

This category turns an unstructured file into fields: you send a document and receive structured data. What it typically does not cover is the archive of record. Ask whether the file is retained after processing and for how long, in which region, whether deletion is contractual, and whether access is logged. Vendors positioned in this category include Mindee, Sensible, Reducto, Docsumo and Nanonets. Here document analysis is one component inside a general purpose cloud platform, close to infrastructure you already run. The questions shift from features to assembly: which regions are available, which entity you contract with and under which jurisdiction, whether the service stores the document or only returns an analysis of it, which adjacent services you would combine for lifecycle rules, immutability and access logging, and who maintains that assembly. Intelligent document processing suites

An IDP suite is a product in its own right: capture, classification, validation, routing and workflow behind one interface that people log into. It fits when an operations team automates internal document work and the process, not only the data, is what you are buying. Ask about shape and exit: whether you can choose the hosting region, whether retention is enforced inside the product, whether documents and metadata export in bulk, and what happens at contract end. E-invoicing compliance and network vendors

This category exists because invoices must be transmitted in the formats and over the channels national mandates prescribe, and those rules move on their own schedule across the EU. Clearance models, Peppol, national portals and per country syntaxes are the substance of the work. The centre of gravity is the document in motion, so ask which countries are covered for sending and which for receiving, what is live versus roadmap, whether archiving is included or a separate module, and in which format invoices are handed back. Document infrastructure layers

A document layer is bought by engineering, not by an operations team. It runs behind your own application, keeps the file, and exposes it through an API, so your users never see the vendor. Ask where data rests and whether storage can point at your own bucket, whether the audit trail is exportable, whether retention is enforced by policy or by convention, and what you can take with you if you leave. The question buyers skip

Most evaluations end at the extraction result: the fields are correct, the demo is convincing. What almost nobody asks is what happens to the document after the data has been extracted, and which retention clock it falls under from that moment.

The data and the document are often governed by different rules. Extracted values sit in your ERP under one policy, while the original file is what an auditor asks to see, under a national retention period that runs for years and varies by document type. If the answer to where that original lives is an inbox or a shared drive, no vendor has solved it for you.

So end every vendor conversation the same way. Where does the original live once processing ends. Who can delete it. What proves it has not been altered. Which retention period applies to that document type in each country where you operate.
